Administrative support to the Human Resources Manager and Executive Admin Admin Duties: • Answer calls and route accordingly • Manage Visitors to include badges and appointment verification • Provide general administrative support including mailing, scanning, faxing and copying for HR/EA • Maintain hard copy filing system • Open, sort and distribute incoming mail • Process Fed-Ex Packages • Maintain office supplies • Schedule and coordinate conference room meetings • Manage Outlook Calendar(s) for EA in current and accurate status • Coordinate travel arrangements • Prepare marketing packages • Assist other departments with activities or projects when needed and when approved • Various projects to include internal audits • Coordinate company events • Assist with Social Media • Interface with Internet Partner • Coordinate cell-phone distribution and maintenance • Responsible for office orderliness to include reception area, conference room and kitchen area. • Watering of plants. • Close up the office at end of day to include lock-up and lights out Human Resources Assistance: • Provide administrative support to HR Manager • Receive resumes and applications • Create New Hire packages • Create Benefits Briefs • Track all applicants in master spreadsheet • Prepare, maintain and manage interview schedules • Schedule and Facilitate New Hire Orientation • Copy New Hire Documents and ensure completeness • Conduct CPR Training • Ensure New Hire pictures are forwarded for Access • Ensure New Hire Managers’ resumes are on company template • Track counseling documents • Prepare termination paperwork prior to exit interview • Prepare daily status spreadsheet prior • Coordinate timekeeping reports, collecting daily’s and generate payroll reports • Assist with open enrollment • Assist with Benefit Administration • Recruit, search resumes and place employment ads • Dismantling of non-active employee files • Coordinate Employee of the Month photo/recognition
