Legal Administrator

I. ESSENTIAL FUNCTIONS AND PURPOSE This position exists to provide administrative and computer support to the Associate General Counsel in accordance, necessary business operations, established procedures, instructions, work routines and other departmental functions. This position requires business and/or corporate law office administrative experience, as well as excellent communication skills. II. POSITION DEMANDS (Education/Training) A. Typically has an AA/AS plus four (4) years directly related experience, or six (6) years directly related experience. B. Position demands a high degree of accuracy and attention to detail; confidentiality, and the ability to organize and prioritize multiple tasks with changing priorities. C. Strong written and verbal communication skills; ability to work independently while part of a team in support of larger departmental and/or business objectives. D. Previous documented Legal Administrator/Legal Secretary/Law Office experience a must. III. POSITION DEMANDS (Required Experience) A.Must be a self-starter able to work with little supervision, yet also able to request additional guidance/direction when necessary. B.Must maintain the highest degree of confidentiality, as much of the information that the candidate will be working with is typically business sensitive, confidential and/or legal in nature. C.Must be willing to sign and abide by all necessary nondisclosure/confidentiality agreements related to such information. D.Ability to communicate clearly and concisely; interact effectively with internal and external customers E.Excellent typing and computer skills; proficient in Microsoft Office products, including Outlook, Excel, Word, PowerPoint and Visio. Ability to analyze, track and report on data/metrics. F.Must have excellent speaking and listening skills. Able to understand and speak English clearly. G.Excellent organizational skills. Able to handle multiple tasks and follow through to completion on assigned tasks. H.Customer-service focused. Professional appearance, business casual. I.Must be punctual and reliable, with proven ability to meet attendance standards. J.Excellent written communication skills. IV. PHYSICAL REQUIREMENTS V. WORKING RELATIONSHIPS Reports directly to Associate General Counsel on a daily basis, with additional contact and assignments from other Senior Management members. Prepares regular schedule(s) and spreadsheets regarding ongoing activities to track and ensure timely completion or assigned tasks/projects to support Legal Department and Company priorities, as well as occasional Administrative Specialist Group tasking(s). VI. PRINCIPAL RESPONSIBILITIES A.Performs general administrative tasks, including but not limited to, electronic records, office supplies and equipment management, answering multiple phone lines, overseeing the daily flow and distribution of time-sensitive mail and other inter-office correspondence, and running occasional off-site errands. B.Construct, research, analyze, input data and maintain databases. Maintain Legal Projects Database and specific legal document trackers to ensure department is working towards deadlines which must be reported to the GM bi-weekly. C.Responsible for analyzing, coordinating, and monitoring multiple projects for Legal Department and notifying Associate General Counsel of time-sensitive documentation. D.Prepares agendas, reports, licenses, certifications, professional presentations and other documents including updating weekly/bi-weekly metrics and status reports for Senior Staff and other meetings. Identify, implement and monitor continuous improvement initiatives to reduce cost, reduce cycle time, improve quality, and improve Legal Department efficiency E.Legal Department Communication: Create on own accord, as well as provide, technical writing assistance to support manual, procedure, work instructions, job aids, and how-to document development for the Legal Department F.Prepares Associate General Counsel travel requests, hotel accommodations/reservations, and itineraries for training, Company business meetings, and conference attendance. G.Performs all other duties as assigned. VII. ACCOUNTABILITY Responsible for providing effective and efficient support to those identified in the Working Relationships section above. Accountable for providing accurate and efficient administrative support as assigned. Results are related to the quality and timeliness of achieving project goals and ability to develop, implement, and/or adhere to processes that maximize productiveness and throughput. VIII. STANDARD EQUIPMENT ISSUE Desktop, keyboard, mouse, and desk phone. IX. UNIQUE/ADDITIONAL REQUIREMENTS Regular, reliable attendance on site is a requirement of this position. Regularly required to sit; use hands and fingers, handle or feel objects or controls; and to talk and hear. Must have good eye/hand coordination. Must have physical ability to walk to all yard locations for delivering messages and distribution of correspondence.
