HR Administrative Assistant

Primary Responsibilities:

· Prepare and maintain employee files

· Maintain HR documents to include applications, preapplication forms, employee manuals, and benefits packages. · Maintain and track applicants & new hires for EEOC requirements

· Perform employment verifications & background checks

· Perform onboarding for new employees to include I9 & new hire reporting requirements E-verify, and VEC reporting

· Process, maintain & update employee access for company, Rapid Gate, and Shipyard badging and submitting access.

· Maintain spreadsheet of employee drivers license & approved IFPC drivers

· Complete travel arrangement for employees traveling and tad employees to include airline, car rental & hotel · Assist in maintaining job descriptions and positions as needed

· Assist in recruiting efforts to include attending job fairs & posting job ads as needed · Assist & perform VEC fact finding interviews, forms & appeals as needed

· Runs various reports as directed by management · Prepare write ups and terminations

· Ensure Payroll department is updated and informed of any change in employee’s status

· All other duties as assigned

· Work with the Hampton Roads Workforce Council and the programs they offer

· Maintain building security, finger print access, and alarm codes for multiple buildings Other:

· Act as back up to front desk position

· Answer phones as needed

· Represent the company in a professional manner at all times ensuring quality customer service

· Abide by and enforce all policies, rules, and regulations of IFPC with employees including all applicable safety rules, regulations and procedures

· Support corporate programs, goals, and initiatives of the company

· Work overtime as needed

SKILLS/QUALIFICATIONS:

Must work with a sense of urgency Excellent attention to detail Strong software skills in Excel, Word and Outlook Ability to multitask; strong organization skills, must excel in a deadline driven environment Must be able to maintain confidentiality regarding compensation and sensitive employee relations situations. Ability to communicate effectively at all levels Highly motivated, willing to learn and take on new responsibilities as provided

PHYSICAL REQUIREMENTS:

· Lifting small weighed objects constantly, 10 pound objects frequently and 20 to 30 pound objects occasionally.

ATTENDANCE REQUIREMENTS:

Attendance on a regular, consistent basis is mandatory including arriving at the time scheduled by your supervisor daily. Job Type: Full-time

Salary: $18.00 - $21.00 per hour
